How to reply to work emails faster on iPhone with AI
Stop spending 10 minutes on a 3-sentence reply. Here's how to use AI to draft professional work emails directly from your iPhone keyboard.
By Sebastian Kluger · Founder of KOPY · 8 min read

Stop spending ten minutes on a three-sentence work email from your iPhone. This page is Mail / Gmail / Outlook on iOS. It is not LinkedIn recruiter templates and not WhatsApp. Those: recruiter replies, WhatsApp faster.
Key takeaways
- Grammarly / Harris Poll 2024: workers spend 19 hours a week on written communication and 88% of the workweek communicating. Mobile email is where that load gets ugly.
- Microsoft 2025 Work Trend Index: interrupted every 2 minutes in the 9-5; 275 interruptions a day including after hours. Drafts must be short or they will not happen.
- Work mode in KOPY is a different register than Dating. Do not mix them.
The problem with most AI email tools on mobile
Most assistants are web apps: open, copy, paste, generate, copy, switch, paste. Seven steps. Each is a distraction. On a commute that cost exceeds the writing.
A keyboard-level solution
Copy the email, globe to KOPY, Work mode, Professional / Question / Agree / Continue, generate, edit, send. Under 15 seconds when the thread is simple. Gmail, Outlook, Apple Mail, Spark all have text fields. That is the integration.
What Work mode actually produces
Standard capitalization, no slang, no wink. Professional is neutral. Question asks for clarification. Agree confirms and moves. Continue builds on the thread. If you need your actual voice, edit nouns. Habits: maintain your voice. Linguistic sludge: robotic AI replies.
KPI table
| KPI | Web assistant | Keyboard Work mode |
|---|---|---|
| Steps | 7 | 4 |
| Register control | Prompt lottery | Mode locked |
| Good for | Long unique letters | Confirm / nudge / ask |
| Risk | Stale paste | Over-short on sensitive threads |
| When to skip AI | Legal, HR, firing | Same. Type it yourself. |
When to edit and when to send
Straightforward confirmations often need no edit. Sensitive situations: first draft only. 82% of leaders in Microsoft's 2025 WTI said it was a pivotal year to rethink operations, and 80% of workers said they lack time or energy. That gap is how bad emails ship. Do not let a model send your "we should talk."
Field notes
Outlook's composer on iOS is a pest. Generate in a reply field that actually has focus. If insert fails, the first responder is not the box you think.
Copy the last useful paragraph, not the 40-message footer of legal disclaimers, or Work mode will answer the disclaimer.
I still write anything that could be a screenshot in a lawsuit with my thumbs. The keyboard is for logistics.
Worked examples
Meeting move: "Thursday 3 no longer works. I can do Friday 11 or 2. which is better?"
Got it: "received, will send the deck by 4pm."
Push back: "I can do a subset by Friday. full version needs Monday. want the subset?"
CC chaos: answer the ask, not every personality in the thread.
Vendor: "please send invoice to billing@... PO is 1844."
Frequently asked questions
Is this Copilot? No. Copilot lives in Microsoft's world. This is a reply keyboard in whatever mail app you already use.
Will it sound like Legal? If you leave "please don't hesitate" in, yes. Delete it. That is the robotic post.
Can I use screenshot tools for email? You can. You should not. Headers and names in images are a gift to whoever stores them.
Mobile email cases Work mode should handle — and should not
Meeting shuffle
Three options max. 'Tue 10, Tue 2, Wed 11. pick one or send a better window.' Do not generate a paragraph about your calendar philosophy.
Waiting on a blocker
Name the blocker and the date. 'blocked on legal redline, I will send Thursday either with their edits or with a list of open questions.'
Saying no to scope
One sentence of no, one alternative. Models love to soften into yes. Edit the yes out.
Thank-you after a meeting
If you must, one line plus a next step. 'thanks for the time. I will send the recap by 5 with owners.' Empty thanks is noise. Grammarly's volume stats are why noise hurts.
Customer apology
You write the apology. AI can tidy. Do not let it admit legal fault you did not approve. Thumbs for anything that could be forwarded to counsel.
Hiring loop on email
If it is a recruiter, you may want the LinkedIn templates. Email still wants the same intent flags: yes, no, later. Do not mix Rizz.
Thread from 2019
Copy only the new ask. Work mode answering a seven-year footer is a support ticket I do not want.
CC your boss by accident in the draft
Read the To line. The keyboard cannot see politics. You can.
Outlook focus bug
Tap the body until the cursor blinks. Then generate. Inserting into the subject is a classic.
Confidential HR
Do not copy the email into any generator. I mean this. Walk to a laptop if you must.
After-hours ping
WTI after-hours chat is up. You can still draft short. You can also wait until morning. The keyboard does not require you to be a hero at 11pm.
When ChatGPT is better
Unique strategy memo. Keep the chatbot. This page is the three-sentence mobile reply. Different architecture, different post.
Mobile email hygiene so Work mode does not embarrass you
Check To, CC, and subject after insert. I have watched generate land under a forwarded 40-person chain. The draft was fine. The audience was not.
Strip the model of 'happy to help further.' You are not a chatbot in a vendor thread unless you are support.
If the thread is legal, HR, or medical, pocket the phone. The fastest email is the one you do not generate.
Grammarly's 19 hours are why your thumbs are tired. Tired thumbs skip the read-through. The read-through is the job. The generate is the start.
LinkedIn InMail is not email. Use the recruiter templates. WhatsApp work groups are not email. Use the WhatsApp page and Work mode only if that culture is actually email-on-WhatsApp.
More questions people ask after reading this
Outlook vs Gmail vs Mail?
All are text fields. Outlook's focus bugs are the worst in my testing. Tap until the cursor blinks. Then generate.
Should I generate a whole thread summary?
Not on a phone keyboard. Summaries are a chatbot job. This page is the three-sentence reply.
What about attachments?
Say 'attached' only if you attached. Models will claim attachments that do not exist. Check.
Can Work mode handle German?
If you generate in German, read it like a hawk. I do not claim multilingual perfection in a blog KPI.
Is this replacing Copilot?
No. Copilot is a suite. This is a cursor-level reply. Architecture comparison if you are shopping shapes.
When should I wait until I am at a laptop?
Legal, HR, performance reviews, anything you would not say in a cafe. Speed is not a virtue there.
A mobile email checklist that is not LinkedIn and not WhatsApp
Copy the last useful paragraph, not the legal footer. Switch to Work mode, not Dating. Pick Professional or Question. Generate. Check To and CC. Check you did not promise an attachment that is not there. Cut 'happy to help further.' Cut synergies. If the subject is HR or legal, stop and use thumbs or a laptop. If the thread is a recruiter, you may want the LinkedIn templates instead. If the thread is a cousin, you wandered into WhatsApp advice. Stay in Mail.
Grammarly's 2024 Harris Poll work is the load: 19 hours writing, 88% of the week communicating, 52% unsure how to use AI. Microsoft's 2025 Work Trend Index is the interruption climate: every two minutes in the 9-5, after-hours pings up. Your iPhone email is where those two reports meet. The keyboard exists to make the three-sentence reply cheap. It does not exist to auto-send your career. Read the draft. Then send.
Outlook focus bug: blink the cursor in the body. Gmail: same. Mail.app: usually kinder. Spark: still a text field. The product is the field, not a brand partnership. I test all of them because I refuse to pretend we integrated with anyone. We integrated with UITextView. That is the whole mobile email story.
One more Work-mode rule I enforce in QA: if the incoming mail is three words, the draft should not be a memo. Length match is not only a dating trick. It is how you avoid sounding like a bot in a 4pm 'ok?' thread. Question tone exists for 'ok?' that is actually a landmine. Professional tone exists for 'ok' that is actually logistics. If you cannot tell, do not generate. Ask with your thumbs: 'do you need a decision or a timestamp?' That sentence has saved me more than any model. I still keep ChatGPT for the rare strategy letter. This page refuses to become that letter. Different shape, different URL, different Tuesday. If you need recruiter language, leave. If you need WhatsApp cousins, leave. Mail is Mail. I will keep the fence even if it costs a few words of SEO overlap. Overlap is how we got a duplicate keyboard slug in the first place. Not again, not on email. Keep Mail here.
